Welcome to Himalayan Guide Treks. By booking a trek, tour, peak climbing expedition, helicopter tour, or any other travel service with us, you agree to the following Terms and Conditions. Please read them carefully before making a reservation.
Booking Confirmation
Your booking is confirmed only after:
- Completing the booking form.
- Paying the required deposit.
- Receiving a written confirmation from Himalayan Guide Treks.
The remaining balance must be paid before the trip begins unless otherwise agreed in writing.
Payment Policy
A deposit is required to secure your booking.
The remaining balance can be paid before arrival or upon arrival in Nepal, depending on the agreed arrangement.
Payments may be made by bank transfer, credit card, or other approved payment methods.
Any bank charges or transaction fees are the responsibility of the client.
Cancellation Policy
If you cancel your trip, the following cancellation charges may apply:
- More than 30 days before departure: Deposit may be transferable to a future trip.
- 15–30 days before departure: A cancellation fee may apply.
- Less than 15 days before departure: A higher cancellation charge may apply depending on services already booked.
- No-shows or early departures are generally non-refundable.
Refunds, when applicable, will be processed after deducting any non-recoverable costs paid to hotels, airlines, transport providers, or government authorities.
Changes to Itinerary
Mountain travel is unpredictable. Weather conditions, road closures, flight delays, natural disasters, political situations, or government regulations may require changes to the itinerary.
Himalayan Guide Treks reserves the right to modify, postpone, or cancel any itinerary for the safety of clients and staff. We will make every reasonable effort to provide suitable alternatives.
Travel Insurance
Comprehensive travel insurance is strongly recommended and should include:
- Emergency medical treatment
- High-altitude trekking coverage
- Helicopter evacuation
- Trip cancellation
- Lost or delayed baggage
- Personal accident coverage
Clients are responsible for ensuring that their insurance covers all planned activities.
Passport, Visa, and Permits
Clients are responsible for:
- Having a valid passport.
- Obtaining the required Nepal visa.
- Providing accurate personal information for trekking permits.
- Carrying all required travel documents throughout the trip.
- Health and Fitness
Many trekking routes in Nepal involve high altitude and challenging terrain.
Clients should:
Be physically fit for their chosen trip.
Inform us of any medical conditions before booking.
Follow the instructions of the guide regarding safety and acclimatization.
The trip leader has the authority to stop a participant from continuing if their health or safety is at risk.
Client Responsibilities
Clients agree to:
- Respect local customs, traditions, and religious sites.
- Follow the guidance of the trekking guide.
- Protect the environment by avoiding littering.
- Respect fellow travelers and local communities.
Any unlawful or dangerous behavior may result in removal from the trip without a refund.
Guide’s Authority
The decision of the trekking guide or expedition leader regarding safety, weather, route changes, or emergency situations is final. All participants must follow their instructions.
